Privacy Policy

VIXBE Websites, Registry and Services

IMPORTANT: This is a business working draft for VIXBE LLC. Privacy obligations vary by jurisdiction, data flows, vendors, age of users, and actual product configuration. Before public launch, qualified privacy counsel should reconcile this Policy with the production data map, cookie/analytics setup, payment processor, identity-verification provider, email provider, hosting stack, retention schedule, and applicable state/international privacy laws.

1. Scope

This Privacy Policy explains how VIXBE LLC (“VIXBE,” “we,” “us,” or “our”) collects, uses, discloses, retains, and protects information when you use VIXBE websites, accounts, VIXBE Explorer, Artist Registration, VXB ID and Artist Registry services, VIXBE Verified™, Artist Profiles, VIXBE Vault, and related services.

2. Information We Collect

2.1 Account and Contact Information

We may collect your name, email address, account credentials or authentication information, communication preferences, and account-management information.

2.2 Artist and Registry Information

We may collect artist name, artist type, genre, country or market, artist description, release status, creation-method information, official website, streaming and social links, management or label information, identity attributes, supporting references, Registry history, status, and other information submitted to establish or maintain an Artist Registry record.

Some Registry information is intended to be public. We distinguish public Registry information from private account, security, payment, and verification information.

2.3 Accountable Human or Organization Information

To support accountability and VIXBE Verified™, we may collect an accountable party’s legal name, email address, relationship to the artist, organization information, and verification evidence. We may collect additional information through an identity-verification provider when required for a particular check.

We do not intend to publish the accountable human’s private legal name, private email address, identity document, authentication data, or other private verification information merely because a Registry record states that an accountable party is on record or verified.

2.4 Verification Information

Depending on the verification process, we or a service provider may process identity, relationship, official-link, organization, fraud-prevention, or supporting evidence. The exact categories collected should be disclosed in the production verification flow before submission.

2.5 Vault and Uploaded Materials

If you use VIXBE Vault or upload supporting materials, we may process files, images, documents, audio, links, artist blueprint information, creative-stack information, metadata, and other content you choose to submit.

2.6 Payment Information

Payments may be processed by a third-party payment processor. VIXBE may receive transaction identifiers, payment status, billing contact information, amount, subscription or renewal information, refunds, chargeback information, and limited payment metadata. VIXBE should not store full payment-card numbers unless its production payment architecture is specifically designed and compliant to do so.

2.7 Device, Usage, Security, and Integrity Information

We may collect IP address, browser and device information, timestamps, session information, logs, authentication events, referral information, feature usage, error data, security events, abuse-prevention signals, and information used to protect accounts and Registry integrity.

2.8 Communications

We may retain messages you send to support, review, verification, dispute, security, legal, or other VIXBE channels.

3. How We Use Information

  • create and secure accounts;
  • provide Explorer previews;
  • process Artist Registrations and issue valid VXB IDs;
  • maintain the Artist Registry and public-safe identifier records;
  • perform VIXBE Verified™ checks and maintain credential status;
  • build and display authorized public Artist Profiles;
  • operate Vault and artist identity-documentation features;
  • process payments, renewals, refunds, and billing support;
  • detect duplicates, account compromise, abuse, fabricated evidence, circumvention, and other Registry-integrity risks;
  • provide support, notices, transactional emails, and requested communications;
  • preserve audit history, corrections, disputes, lifecycle events, and evidence integrity;
  • comply with law, enforce terms, and protect VIXBE, users, artists, and third parties;
  • analyze and improve product performance and user experience;
  • develop new features consistent with this Policy and applicable law.

4. Public Registry Information

A core purpose of VIXBE is to maintain a public-facing identity registry. Information designated as public may be visible through VXBID.com, VIXBE artist profiles, QR codes, Registry lookup, search engines, or links shared by users.

Public information may include artist name, VXB ID, Registry status, Verified status, genre, artist description, official links, public management or label information, public profile content, and selected Registry dates or history.

A permanent identifier may remain associated with a historical Registry record even if an account is deleted, a profile is unpublished, or the artist becomes inactive, retired, withdrawn, suspended, or otherwise changes status. VIXBE should minimize public display where appropriate while preserving Registry integrity and lawful historical records.

5. How We Disclose Information

We may disclose information:

  • to service providers that help us host, secure, verify, email, analyze, process payments, timestamp records, support users, or operate the Services;
  • to the public when information is intentionally part of the public Registry or Artist Profile;
  • to authorized team members or representatives according to account permissions;
  • when you direct us to share information or enable an integration;
  • to professional advisers such as attorneys, auditors, insurers, or security specialists where appropriate;
  • in connection with a merger, financing, acquisition, reorganization, sale of assets, or similar business transaction, subject to applicable law;
  • when reasonably necessary to comply with valid legal process, protect rights or safety, investigate abuse, or enforce agreements.

We do not sell personal information merely because a public Registry record exists. Before launch, VIXBE should confirm whether any production advertising, analytics, or cross-context behavioral advertising practices constitute a “sale,” “sharing,” or targeted advertising under applicable privacy laws and provide required controls if so.

6. Service Providers and Third Parties

VIXBE may use third-party providers for infrastructure, payments, email delivery, identity verification, security, analytics, file storage, support, and cryptographic timestamping. Providers receive information appropriate to their function and are governed by their own terms and contractual obligations.

Before launch, this section should be reconciled with the actual vendor list and any legally required subprocessor or service-provider disclosures.

7. Cookies and Similar Technologies

VIXBE may use cookies, local storage, session technologies, and similar tools for authentication, security, preferences, analytics, performance, and fraud prevention. Where required, VIXBE will provide appropriate notice and choices for non-essential technologies.

The production website should include a cookie notice or consent mechanism if required by the jurisdictions served and the technologies actually deployed.

8. Data Retention

We retain information for as long as reasonably necessary for the purposes described in this Policy, including providing services, maintaining Registry integrity and identifier history, satisfying legal and accounting obligations, resolving disputes, preventing fraud, maintaining security, and enforcing agreements.

Different data has different retention periods. Account data, Vault content, verification evidence, security logs, payment records, public Registry records, audit events, dispute records, and legal holds may be retained for different periods.

A request to delete an account does not necessarily delete a valid VXB ID or all historical Registry events. VIXBE distinguishes account deletion, public-profile removal, Vault deletion, Registry withdrawal, retirement, evidentiary preservation, and legal retention.

9. Security

We use administrative, technical, and organizational safeguards designed to protect information. Measures may include access controls, encryption where appropriate, authentication protections, audit logging, least-privilege access, security monitoring, step-up authentication, and recovery controls.

No system can guarantee absolute security. Users should protect account credentials and promptly report suspected unauthorized access.

10. Your Privacy Choices and Rights

Depending on where you live, you may have rights to request access, correction, deletion, portability, restriction, objection, or information about certain processing or disclosures. Some rights are subject to exceptions, including legal obligations, security, fraud prevention, and the integrity of a permanent Registry history.

You may also be able to control profile visibility, opportunity/contact settings, marketing communications, optional integrations, and other preferences through the Services.

To submit a privacy request, email contact@vixbeid.com. VIXBE may need to verify your identity or authority before acting on a request. Authorized-agent procedures and jurisdiction-specific appeal rights should be added where required by applicable law.

11. Marketing and Transactional Communications

You may opt out of promotional emails using the unsubscribe mechanism provided in those messages. Even if you opt out of marketing, VIXBE may still send transactional, security, Registry, verification, billing, legal, or service communications necessary to operate your account or Services.

12. Children and Minors

VIXBE is not intended to allow children to independently create accounts or serve as the sole accountable party where adult accountability is required. Digital artists represented as minors, minor creators, or digital artist identities materially derived from a real minor may be subject to additional review and safeguards.

VIXBE should not knowingly collect personal information online from children in a manner that violates applicable child-privacy law. Production age gates, parental/guardian procedures, and minor-related data flows must be reviewed by counsel before launch.

13. Real-Person Likeness and Voice

If a digital artist is intentionally designed to represent or materially derive the identifiable likeness or voice of a specific real person, VIXBE may process information needed to review the stated relationship or authority. We do not intend to conduct population-wide facial-recognition or biometric identification as part of ordinary Registration.

If future verification uses biometric information, VIXBE must update this Policy and implement applicable consent, retention, vendor, and jurisdiction-specific requirements before that processing begins.

14. International and Cross-Border Use

VIXBE is designed with a global artist ecosystem in mind, but service availability and verification may be limited by country. If personal information is transferred across borders, VIXBE will use legally appropriate mechanisms where required. Before international expansion, VIXBE should add jurisdiction-specific disclosures and transfer mechanisms applicable to the markets actually served.

15. Legal Process and Preservation

VIXBE may preserve or disclose information in response to valid legal process or where reasonably necessary to protect rights, safety, security, or Registry integrity. We seek to validate legal requests, limit disclosure to appropriate scope, and notify affected users when permitted and appropriate.

A legal hold may preserve covered records even if the information would otherwise be eligible for deletion.

16. Account Deletion, Registry Withdrawal, and Publication

These are separate actions. Deleting an account does not necessarily erase a valid VXB ID or historical Registry record. Removing a public profile does not necessarily remove the identifier record. Withdrawing or retiring an artist does not cause the identifier to be reassigned.

VIXBE will apply applicable legal rights and data-minimization obligations while preserving the minimum information reasonably necessary for Registry integrity, security, legal compliance, and historical accuracy.

17. Automated Systems and Human Review

VIXBE may use automated systems to validate fields, compare Registry records, identify conflicts, enforce deterministic rules, and flag security or integrity conditions. Automated flags may route a matter for human review and are not, by themselves, findings of fraud, ownership, infringement, authority, or wrongdoing.

Material determinations involving disputed authority, ambiguous identity continuity, real-person representation, minor authority, legal rights, or intent may require human review or legal escalation.

18. Changes to This Policy

We may update this Privacy Policy as our Services, vendors, laws, or data practices change. We will post the effective date of the current version and provide additional notice of material changes when appropriate or required by law.
